Subscription Terms
These are the terms for a Big Bear Marine Monitoring subscription. They're written in plain language on purpose — if anything here is unclear, ask us and we'll explain it.
1. The service
Big Bear Marine Monitoring is a fleet-monitoring service for marine operators: an iOS app for your crew plus the hosted backend that powers it. It covers operations logs, engine hours and trips, daily reports, sensor monitoring, vessel tracking, maintenance and inventory, safety management documents, and role-based reports. The app itself is a free download; access to your organization's fleet is what the subscription provides.
2. Subscription and billing
- The subscription is billed yearly, per vessel, at the per-vessel price in your quote or purchase order.
- We invoice you directly. Payment by check, bank transfer, card, or government purchase card is fine.
- The subscription renews each year unless either of us says otherwise before the renewal date. We'll tell you ahead of time if the price is changing.
- Adding a vessel mid-year? Just tell us — we'll add it and invoice the difference. Removing one takes effect at your next renewal.
- There are no per-seat charges — your approved crew, managers, and observers are all included, however many vessels they work across.
3. What's included
- Access to the app for everyone in your organization we've approved.
- Setup of your vessels, sensors, and crew accounts, done with you.
- Hosting, data storage, and backups for your fleet's records.
- App updates and improvements as we release them.
- Direct support by email — you talk to the people who build and run the service.
4. Your data
- Your fleet's data belongs to your organization. We don't sell it, share it with other customers, or use it for anything besides running the service for you.
- Data is stored on Google's cloud platform (Firebase), with access limited to approved members of your organization. Crew members only see the vessels they're assigned to.
- If you leave, we'll give you an export of your records on request and then delete them.
5. AI-assisted features
A few convenience features use a commercial AI service (Anthropic's Claude) to do their work: reading photographed paper log sheets into the record, writing trip summaries, and answering questions about vessel equipment. When those features are used, the relevant content (for example, the log sheet photo) is processed by that AI service.
The core of the app — logs, hours, reports, tracking, monitoring, maintenance — does not use AI. On request, we will disable the AI-assisted features for your organization, and the rest of the service works exactly the same.
6. Accounts and acceptable use
- Every account is approved by us and belongs to a real person in your organization. Tell us when someone leaves so we can remove their access.
- Don't share logins, attempt to access another organization's data, or use the service to break the law.
7. Cancellation
You can cancel at any time. Your access runs through the end of the year you've paid for, and then the subscription simply doesn't renew. If we ever discontinue the service, we'll give you reasonable notice and an export of your data.
8. Service commitments
We work to keep the service reliable and available, and we fix problems promptly, but like any online service we can't promise it will never be interrupted. The service is a record-keeping and monitoring aid — it doesn't replace your own safety procedures, watchkeeping, or regulatory obligations. Our responsibility to you is capped at what you've paid for the current subscription year.
9. Questions and changes
